Can't help you with the knowing if you are in or not, but I can help with the other part. Based on the previous 3 tournaments, the GM's set up a tournament captains channel. They will sent the team captain an acceptance evemail, and it that evemail, they tell you the team captain channel they expect you to join. They will further tell you (either by evemail or by forum post when the schedule is set -- don't remember which, maybe both) to make sure the team captain is in the captain's channel a certain amount of time (it has varied slightly from tournament to tournament) before you are slated to fight. Come your scheduled fight day, you will be contacted via the captains channel (at the appropriate time) to find out if your team is ready (which means you have your team in a fleet, in their ships, etc.). In most recent tournaments, they were giving 30 min warnings before your team needed to be ready. Shortly after you are asked if your team is ready, you will be asked to invite a specific GM into your fleet. That GM will join your fleet and give you additional instructions on the process and procedure of getting your team moved to the arena. The GM will give further instructions on the procedures of getting to the appropriate beacons, and all other instructions needed prior to the match. If you have ANY questions at all concerning how things work (concerning tournament mechanics) or clarifications, that is your chance to ask. They will tell you that once you warp in to your chosen range, DO NOT LOCK ANYONE, DO NOT MOVE. They tell you other stuff, but those are the most important.
